How to Show/Hide Hidden Text in Microsoft Word
Instructions for viewing, hiding, and managing hidden text across different versions of Word.
I. Windows (Word for Microsoft 365, Word 2021, 2019, 2016, 2013, 2010)
These versions function almost identically.
1. How to View Hidden Text (Toggle)
- Keyboard Shortcut: Press Ctrl + Shift + 8 (Use the 8 on the top row, not the number pad).
- Ribbon Method: Go to the Home tab > Paragraph group > Click the ¶ button.
- Visual Cue: Hidden text will appear with a dotted underline.
2. How to Hide or Unhide Text
- Keyboard Shortcut: Select the text and press Ctrl + Shift + H.
- Manual Method:
- Select the text.
- Right-click and select Font (or press Ctrl + D).
- Check or uncheck the Hidden box under the "Effects" section.
- Click OK.
3. How to Print Hidden Text
- Go to File > Options.
- Select Display from the left menu.
- Under Printing options, check the box for Print hidden text.
- Click OK.
4. How to Permanently Remove All Hidden Text (Sanitize)
Method: Document Inspector
- Go to File > Info.
- Click Check for Issues > Inspect Document.
- Ensure Hidden Text is checked in the list.
- Click Inspect.
- If hidden text is found, click Remove All.
II. macOS (Word for Mac 365, Word 2021, 2019, 2016, 2011)
Mac versions use slightly different menus and modifier keys.
1. How to View Hidden Text (Toggle)
- Keyboard Shortcut: Press Command + 8.
- Ribbon Method: Go to the Home tab > Click the ¶ icon in the Paragraph section.
2. How to Hide or Unhide Text
- Keyboard Shortcut: Select the text and press Command + Shift + H.
- Manual Method:
- Select the text.
- Press Command + D (or go to Format > Font in the top menu bar).
- Check or uncheck the Hidden box.
- Click OK.
3. How to Print Hidden Text
- Go to Word in the top menu bar > Preferences.
- Select Print (under "Output and Sharing").
- Under "Include in Print Version", check the box for Hidden text.
4. How to Permanently Remove All Hidden Text
Note: Word for Mac does not have the "Document Inspector" feature that removes hidden text with one click. You must use "Find and Replace".
- Press Command + H (or Edit > Find > Advanced Find and Replace).
- Go to the Replace tab.
- Click inside the "Find what" box (leave it empty).
- Click the Format button (bottom left) > Select Font. (If you don't see buttons, click the arrow to expand the box).
- In the Font dialog, check the Hidden box and click OK.
- Leave the "Replace with" box completely empty.
- Click Replace All.
III. Word for the Web (Online)
The online version of Word is much more limited regarding hidden text.
Can you Hide Text? No. You cannot apply the "Hidden" attribute to text while editing in a web browser.
Can you View Hidden Text? No. If you open a document created in the desktop app that contains hidden text, that text will remain invisible in the browser view. You cannot toggle it on.
Workaround: To view or edit hidden text, you must click the Editing button > Open in Desktop App.
